Companies are applying accounting outsourcing because it can reduce their expense and help to maintain accounting books properly with new technologies.
FREMONT, CA: Most of the time, it is considered that outsourcing needs massive investment in terms of human resources, technology, and infrastructure making it a useful solution for the big companies. But this assumption has been proven wrong numerous times with the help of fast multiplying instances of small and medium-size companies who outsource their HR activities, accounting, marketing support, and other processes to achieve better results. In the past few years, the demand for accounting outsourcing has increased due to the fast-growing BPOs. With the help of outsourcing, the companies have successfully cut down their expenses, increased accuracy, reliability, and proper maintenance of the accounting books.
Such transformation was possible due to the decrease in technology costs like email or data storage accounts, computers, and internet connections. Increasing dependability of remote access software and falling communication costs due to VOIP, availability of remote working tools like drop-box have also played an essential role in increasing the popularity of accounting outsourcing.
There are two fundamental data items related to an outsourced accounting process. The first one consists of the input documents or source data such as invoices, check stubs, bank statements, and bills. The second one is an accounting file like Peachtree, MYOB file, and QuickBooks. Communication among both ends is another information item, and it is necessary to manage them properly.
Technology Options for Accessing the Input Documents:
a) Faxed
It is possible to fax data to an e-fax number electronically. The faxes will them get emailed to the service provider as electronic images. The process can be beneficial when the user has to send a small amount of data to the service provider from various locations or offices from third party entities such as customers, utility companies, vendors, and bank.
b) Telephone
in this technologically advanced world, sending data through clicking pictures by smartphones is popular among small clients. The method is easy to manage if the volume of the data is not significant and common, especially when the client is travelling or on the move in most of the situations.
c) Scanned Form
Scanned documents can be uploaded by the client staff on the website of the service provider. The service-provider office later downloads the file. The documents can also be picked up from the client-server or open remotely by the service provider. Although accessing scanned document remotely can be the best process for data security, but it is the least productive method.
